Minutes of the Lebanon Public Library Board of Trustees

January 26, 2005

 

The meeting was called to order by President Jane Myers. Members attending were Jon Nixon, David Koehler, Kandi Caldwell, Sharon Wood, Jane Myers, and Marsha Truitt. Linda Jones was on vacation in Tennessee. Others attending the meeting were Kay Martin, Director, Dan Sulkoske of Kramer, David Truitt, Board Attorney, Tony Robbins, Accountant, Glenna Lenox, Office Manager, Donna Boone, Reference, and Matt Hendrickson, Lebanon Reporter.

 

The Secretary’s reports from November 17, December 15, and December 29 were shared. Sharon Wood made the motion and David Koehler gave the second to approve the minutes as read.

 

Under the Treasurer’s report, the construction money, the proceeds from the sale of the bonds, and their investment was discussed. Marsha Truitt made the motion and Kandi Caldwell gave the second to grant David Koehler the authority to invest the money for 6 to 7 months through Tony Robbins.

 

Tony Robbins spoke about the need to transfer or reappropriate funds (line items) from one account to another. David Koehler made the motion and Kandi Caldwell gave the second.

 

We have $30,782 undispursed money. This is to be encumbered form 2004, fund payable 2005. David Koehler made the motion and Jon Nixon gave the second.

 

David Koehler made the motion and Marsha Truitt gave the second to reinstate the Capital Projects Fund.

 

Marsha Truitt made the motion and Jon Nixon gave the second to pay the claims.

 

David Koehler made the motion and Sharon Wood gave the second for a resolution to establish a non-resident fee, changing form $50 to $55 based on Indiana Code Requirement.

 

David Koehler made the motion and Jon Nixon gave the second to accept the contract agreement that Clinton Township library fees are paid for by the Clinton Township Trustee.

 

Jane Myers has worked to set up Board Development Training on Budgeting for Board Certification. The date is tentatively set for Saturday, April 23, 9:00 a. m. through noon.

 

Dan Sulkoske gave the building update. SBC is almost done. Jerry Trapp has complained about a damaged gas line. The project has been delayed about 60 days due SBC, water, freezing, and thawing.

 

After discussion, it was decided to reestablish the sub committee to approve project change orders. Jon Nixon and Kandi Caldwell were appointed to this committee.

 

ILF Legislative Day is February 15.

 

Kay talked about the possibility of establishing a shared catalog between the schools and the Library. Jane Myers stated that the School Board wants a presentation from Library Board Members appointed by the School Board in March or April about what they do on the Library Board. The School Board appointees are Marsha Truitt, Sharon Wood, and Kandi Caldwell.

 

For the 100-year celebration, Kay talked about the pavers that may be sponsored by the Friends or the Teen Advisory Group.

 

In her Director’s Report, Kay stated that the Library has received a $1000 grant form The Dollar General Store for software for homework help for K-12and GED study help.

 

Kay’s family is interested in donating The Giving Tree to the Library. This is a donor tree with leaves to be engraved recognizing donations or memorial contributions. Jon Nixon made the motion and Kandi Caldwell gave the second to accept this donation to be used in the Genealogy area.

 

Jamey and Kay are working on a time capsule for the new addition. Jamey will start work on her certification in Genealogy.

 

After discussion, David Koehler made the motion and Marsha Truitt gave the second to join the Boone County Chamber of Commerce at the cost of $60 per year.

 

Jon Nixon and Kandi Caldwell worked as the nominating committee for this year. Their recommendation was to keep the same Board Members as office holders for 2005. The officers will be Jane Myers, President, Sharon Wood, Vice President, David Koehler, Treasurer, and Marsha Truitt, Secretary. Jon made the motion and Kandi gave the second.

 

Posting memorials in the newspaper was discussed. The Sun Times gave a bid of $120 for a half page. The Lebanon Reporter’s bid was$179 for less than a fourth page. Marsha Truitt made the motion and Kandi Caldwell gave the second to try the Sun times for a year for posting the memorials.

 

Kandi Caldwell was officially sworn in by Board Attorney, David Truitt, as a member of the Lebanon Public Library Board.

 

The date of the March Library Board meeting is being changed for March 23 to March 16 to me with Craig Anderson form Duke/Anson project.

 

The next meeting will be February 23, 2005.
