9 January 2001 Meeting Minutes

Lebanon Public Library Meeting Room


Pursuant to Notice given all members of the Board of Directors via Electronic Mail, the Monthly Meeting convened upon the President calling the same to order.

The meeting was called to Order by President Wallace and the agenda was pursued as previously distributed via E-Mail. Board Members present were John Wallace, Dave Truitt, Tom Garoffolo, Rebecca Hull, Jayne Brandenburg, Carl Corson and Terry McCain.


ITEM I: System Administrator’s Report: - Terry provided her report and itemized the particulars. There were 1834083 requests for information last year from BCCN. The requests for the BCCN Homepage comprised 44,293 last year. The number of Virtual Postcards sent: 725 Searches: 2124 December statistics: 171 Postcards for Christmas to friends and family. 3955 sought access to the home page in December alone. The schools and libraries have also been very busy pages. The Eagle Twp. site is up and running. A New Mailing list is just up and running from the Zionsville Library. The “Friday list” and the program list which goes to all that provided an email address to the library. (About 2500) This is probably the largest list placed on the site. Only four addresses on a mailing that was sent out this past week “bounced”. Other smaller lists have been set up. Western Boone used this a lot. Early dismissal and delays were noted. One student even linked the school delay to his pager to be notified when the school was delayed.


ITEM II - The Content Report – The Fall developed sites from Western Boone computer classes have been completed and Terry can transfer them over to the public site soon. WeBo is looking for about 10 more sites to work on for the Spring semester. The church sites have been very popular. The Crown of Thorns Church participated in this exercise and was one of several mentioned by Terry. Carl asked about the Episcopal Church of Lebanon. At one time they had paid for a site but they have not been around awhile.

Lots of content is being added for the Town of Jamestown. The Boone County Health Department site is being updated. The Town of Thorntown is in the works as well. Their email should be up and running soon.

Scholarships and information on the same have been hot. All of the Boone County Community Foundation information was updated just before Xmas. The extension office scholarship information was also updated. Quite a bit of activity in this area.

There will be some classes given at the Zionsville Library on basic Internet. These will be during the day on January 23, 25th and February 6, and the 8th. There are still some waiting list people that are being worked into these class sessions. These sessions have always been full. BCCN is now hosting Lebanon and Jamestown, and Whitestown has shown an interest. Terry needs to follow up with the Tri-Area library so they can locate a computer. The library was thrilled at this possible acquisition.


ITEM III: Treasurers Report - Carl stated that all was well in the Treasury. Invoices will be going out this week for dues. Dues are Due !

ITEM IV: Taxes: John asked Dave about the tax returns for the past year and what needed to be done there. Dave indicated that the Form 990 will need to be completed first before the Form 8357 can be completed to confirm the tax-exempt status with the IRS. Failure to comply on a timely basis could jeopardize the status of the organization. Dave asked Carl to check on the status of the year end materials so the Form 990 could be completed in a timely fashion. Terry provided Dave with some requested information on the purchase price for the new server and trade in values on the old unit.

ITEM V: Lilly Grant – Terry reported that the Tri-Area Library computer location is part of the Lilly Grant. The large expenditures from the grant are pretty much out of the way.

ITEM VI: Advertising – This is really part of the discussion we had previously had on the Lilly Grant. John has located some costs for the “Top Ten Reasons” with the Times, the Reporter and the Star. The Star is very expensive. The two local papers are much more reasonable. Reporter: $290 Times $267.20 The ads for these two papers were given the go-ahead and John will get the materials ready for submission to the papers. He will send out another note for confirmation prior to running the ads so that the size can be verified.

ITEM VII: Promotional Materials: 108 Mugs left. Started w/ several more. We are not really ready to order more yet or are we ? There are roughly 200 magnets left and we should order some more. Jane will stop by and get some more magnets to distribute to the Realtors. That is good exposure. About 500 pens and pencils are left but we should get some more on order for the Spring Home Show. (April 19th, 20th , 21st) Carl will contact Katie Culp who is the new Executive Director of the Economic Development Corporation and the Chamber of Commerce. There are tentative plans to open a second building for the Home Show since there are many people expressing interest in participation and there is not enough room.

OTHER STUFF/NEW BUSINESS: Chad was contacted about joining the Board but John has not heard back from him. He asked for some sort of reply one way or the other. John has also made some changes in the rental forms for the projector and camera. He will PDF those changes out as soon as possible.
Terry presented an invitation from the Boone County Community Foundation for Jan 15th,2001 for the focus group that is being conducted. This consulting group will meet at the Zionsville library. John will RSVP and participate with the program known as “Taking Stock”.
Terry asked about future Basket “giveaways ”for the Thorntown Festival of the turning leaves. Whitestown was also mentioned.

The next meeting will be the Annual Meeting for the Corporation. March 13th, 2001.
